As an Intune Protected App, Notability lets your IT team control copy and paste, imports, exports, and Apple Writing Tools on iPhone and iPad.

TL;DR

‍

Your notes know a lot. Client conversations, meeting takeaways, and documents marked up during a late-night review can all contain sensitive company information. Keeping that information secure is crucial, especially when you're moving between apps and devices throughout the workday.

Notability is now officially listed on Microsoft's Intune Protected Apps list, giving IT teams a way to protect information in the app using the same app protection policies they apply to their Microsoft stack, including Outlook, OneDrive, and more.

Here's what the integration does, what admins can control, and how to get started.

Your notes are company data

We work with Microsoft Intune Mobile Application Management (MAM) to help IT teams protect company data within the app. MAM lets admins control how information moves between Notability and other apps without managing the entire device, as traditional mobile device management (MDM) does.

Admins configure these controls through the Intune admin center, setting restrictions on copying and pasting content, importing files, and exporting notes. Once MAM is configured, Notability automatically enforces the organization's protection policies.

This is especially useful for teams that use personal iPhones and iPads for work. Employees can continue using their own devices while IT maintains control over how company information is shared, without requiring full device enrollment.

What IT can control

Admins can set app protection policies in the Intune admin center, and Notability automatically enforces them. These policies let organizations control how company information moves in and out of the app.

  • Copy and paste: Block employees from copying our platform’s content into unmanaged apps.
  • Exports: Restrict where employees can send notes, including Files and cloud services.
  • Imports: Control which sources can bring content onto the platform, such as OneDrive, Photos, or Camera.
  • Apple Writing Tools: Enable or disable Apple's Writing Tools within our platform.

Security that fits into the workflow

Intune works alongside Notability for Business Feature Controls, giving organizations multiple ways to manage how employees use the app. When the two sets of controls conflict, the more restrictive setting takes precedence. If either one blocks an action, it stays blocked.

For employees, the experience stays familiar. They can continue taking notes, annotating documents, and organizing their work as usual, without having to manage security settings themselves. If they try to do something their organization's policies don't allow, such as pasting work notes into a personal app, Notability displays a clear alert explaining the restriction.

The result is a balance between giving IT teams control over company information and letting employees get their work done without unnecessary interruptions.

How to get started

Intune MAM is available on iPhone and iPad for organizations with Notability for Business licenses purchased through Apple Business Manager, as well as all Business Pro subscriptions. Mac support is coming soon.

Setup depends on whether your organization uses managed or personal devices.

On managed devices:

  1. Add Notability to an app protection policy
  2. Set the Intune MAM Required app configuration key
  3. Grant admin consent in Microsoft Entra

On personal devices:

  1. Enable Microsoft Intune under Feature Controls in Notability's Organization settings
  2. Configure data protection in the Intune portal
  3. Grant admin consent in Microsoft Entra

For step-by-step instructions, see our Intune MAM setup guide. If your organization uses mobile device management (MDM), see our Notability for Business MDM guide.
